Bouitique weddings is a wedding agency specialized in providing whole wedding services. What does this mean? We organize only whole weddings, which means that we don’t provide our services selectively, not even only the wedding day. We have a couple of reasons for this, but the main one is the limited amount of weddings we can organize, we, therefore, give way to such opportunities where we can put our potential to full use. It’s also crucial for us to work with a team of suppliers that we know well and can rely on so that we’re able to provide a level of excellence that is expected of us.
Now let’s have a look at what you can expect of us – our ten commandments:
I. LOCATION
Our cooperation starts with this. Typically we will recommend different types of locations, so you have a lot to choose from. Sometimes we can choose a location on the first time round, other times we need to go around the whole republic until we find the perfect spot. Sometimes the client has already chosen a location. Nevertheless, when choosing a place, it’s crucial to see how you feel there when you visit the location itself. We can recommend you something, but it is your wedding in the end and you have to consider all of the pro’s and con’s and be sure it’s the right place for your wedding. Usually, we choose a handful of places that we then visit together and you then choose from.
II. DESIGN
Design is a fundamental aspect of weddings for us. Nowadays the visual impression is also important, not only good fun and food. Typically one doesn’t work without the other. This is how it all works – after the consultation, we’ll design a wedding concept together, which we gradually work into more detail. First, we start with the florist, we’ll specify what flowers we want, the colors, style, decoration, etc…
Then we start working with the graphic artist on the wedding announcements, where we work on the details of our concept. Typically we don’t only work on wedding announcements, but on a whole set of printed materials – the menu, name tags, various signs with the seating, program and more.
Then we contact the confectioner, he/she will design a wedding cake, sweet bar, etc.… Another big part of our cooperation with the suppliers mentioned above, is the furniture and other essential things, as in stands, pottery for the sweet bar, decorations, cutlery, napkins and many other little details.
If there will be a tent, then the people that take care of it will be included in the mix, they need to be coordinated with whoever is setting up the lighting, stage for the band, dancing floor…
III. CATERING
Catering is what makes or breaks a wedding.
Be it at a restaurant with a standard setting and service, or a wedding on the so-called ‘green meadow’, where a catering firm is needed and everything must be taken to the location. We can help you choose the right drinks and food; we’ll organize tastings of the menu, the wedding cake, sweet treats and a wine tasting. It’s important that there is just enough food. It would be a pity to throw away any food, but then again there must be enough of it at the same time. We can help with this as well. After years of experience with this, we’re pretty confident in how much of what we will need. Quality catering is an absolute must, because the service needs to be perfect as well as the food.
It’s quite frequent that things often change during the preparations, especially the guest count – you won’t need to worry about this – we’ll take care of it. We will organize the seating, design the table layouts and styling because the decoration isn’t enough nowadays, there is a significant focus on porcelain, cutlery, glass, etc.… Food trucks are becoming quite popular nowadays – small designer vans, which offer thematically different kinds of food. The sweet corner is, of course, an absolute necessity, as are gifts and many other small details that need to be taken care of. We’re also perfectly capable of dealing with multiple different menus. Generally speaking, we discuss the food with the guests, almost everyone has some dietary restriction nowadays, and we need to take this into account.
IV. STYLING
We pay a lot of attention to this part. First, we take care of the bride. We’ll go and choose the dress, shoes and accessories together. We’ll organize a mock-makeup and hair styling session at our office and we’ll fine-tune the other garments for the preparations and evening changing. Then we’ll go straight to the groom – his styling is frequently forgotten about. Suit, shirt, accessories, shoes, belt – everything needs to match with the overall design of the wedding and with the bride’s styling. And we can’t forget a visit to the barber shop, where the groom will be pampered and tended to, just as the bride is. Bridesmaids are quite fashionable nowadays, we’ll organize a dress testing for them as well and we’ll help them with choosing the right accessories; hairdresser and make-up and hair artist included, of course. Then we’ll recommend something to the mothers and fathers.
V. PHOTO AND VIDEO
A crucial supplier, think wisely here! You can look stunning, the decoration can be breath-taking, but if the photos or videos aren’t on point, you’ll be disappointed. We work with only the best in the industry and we take responsibility for their work. We can help you to choose to right one for you. It is essential to look at the style of your wedding and your personality, as not everyone gets on well all the time. We’ll meet in person, go through all of the details and we’ll send a photographer more information before the wedding as well.
VI. MUSIC AND FUN
Based on your wedding concept and timetable we’ll think about the music for the ceremony, bouquet and party. There is a lot to choose from, but we’d rather you have something a little unusual, with different and exciting music formations and combinations. We’ll sort out the sound system for the ceremony and bouquet. Music is essential on a wedding, it creates an atmosphere and gets the guests in a good mood. It’s definitely a good idea to cover all parts of the wedding, but also to balance it out so that the wedding isn’t like a show or concert.
We pay special attention to the music selection for the wedding ceremony and the whole day in general because it is an important part of a wedding.
Equally so, the fun stuff you choose to do is essential. Yes, it is important that the wedding be fun, but also that there isn’t too much of one thing. We have a vast portfolio of various activities, which will brighten up the wedding and the guests will have a fun, unusual experience. Wedding traditions are a part of this as well.
VII. PERSONAL WEDDING WEB
We’ll make one and maintain one for you. We’ve been offering this service since 2008 and it’s still -very popular. It will save you a lot of time. We offer them on our website in a modern, fresh style. All of the information regarding the wedding is on our web – the location, program, accommodation, transport, dress code, wedding gifts and the confirmation form. All of the information goes to your e-mail and we’ll make a note of the guests that have confirmed their attendance, the menu choice, children and their age, accommodation, transport – basically everything that needs to be written down when planning a wedding. Then the clients don’t have so much work with e-mailing and answering guests questions.
VIII. ADMINISTRATIVA – řešíme ve spolupráci s vámi veškerou administrativu, což znamená vyřízení všech povolení, abyste se mohli vzít. U cizinců je to poměrně komplikovaný proces hodný zásahu právníka, nicméně jsme za ta léta získali tolik zkušeností, že to zvládáme s přehledem sami. K tomu patří vyřízení soudních překladů, zajištění apostil, tlumočníků, spolupráce s ambasádami a v neposlední řadě předání oddacího listu.
Další podstatnou službou je to, že dokážeme zajistit oddávajícího, což vzhledem k tomu, že matriky vypisují termíny opravdu poskrovnu, bývá docela oříšek. Ale my máme své kontakty, takže se můžete spolehnout, že oddávající a tím pádem i svatba bude.
IX. ORGANIZACE – vše co jsem výše zmínila se musí zpracovat a dát vědět dodavatelům, kteří se na svatbě podílejí. Začínáme rezervacemi a platbami záloh, následně naplánujeme schůzky, zkoušky, ochutnávky a vytvoříme koncept s detailními informacemi. Sestavíme To do list, jak pro nás, tak i pro klienty, aby se na nic nezapomnělo. Ale nemusíte se bát, že vás zahltíme úkoly, jsou to samé příjemné aktivity.
Navrhneme harmonogram, aby bylo všem jasné, jak, kdy a co mají udělat a ten rozešleme před svatbou všem zúčastněným.
Podrobně rozplánujeme svatební obřad, nástup jednotlivých svatebčanů a zasedací pořádek na obřad. Vytvoříme plán sálu s rozmístěním stolů a spolu vámi vytvoříme zasedací pořádek. Rozešleme svatební oznámení, objednáme doplňky, evidujeme potvrzování hostů a komunikujeme s nimi.
Pokud je to potřeba zajistíme ubytování, včetně evidence hostů a dopravu.
Dále vás určitě bude zajímat, kolik vás bude svatba stát, takže postupně, tak jak budeme vybírat jednotlivé služby, sestavíme položkový rozpočet a rozpis plateb, které také evidujeme. Týden před svatbou jde do tuhého, všechny dodavatele musíme obvolat, rozeslat harmonogram, zaktualizovat objednávky, sejít se vámi, navštívit lokalitu, roztřídit jmenovky, připravit vše, co budeme na svatbě potřebovat. Organizací svatby strávíme kolem 200 hodin, napíšeme 300 mailů, vyřídíme desátky telefonátů, absolvujeme spoustu schůzek.
Pomyslným vrcholem příprav je, když kolegyně objedná samolepku na naše desky, které používáme při koordinaci svatby a obřadně ji nalepí. To pak víme, že máme hotovo a zbývá už jen svatbu zkoordinovat.
X. KOORDINACE SVATEBNÍHO DNE v mé profesi se řídím několika pořekadly, ale jedno je naprosto zásadní. „Těžko na cvičišti, lehko na bojišti“ a obzvlášť u svateb to platí dvojnásob.
Na svatbě není prostor na improvizace. Vše musí být dokonale naplánováno. Před svatbou si ještě jednou vše do detailů projdeme a zaměříme se na potencionální problémy, které by mohly nastat.
Následně si rozdělíme úkoly. Některé svatby jsou extrémně organizačně náročné a je potřeba vytvořit minutovník, kde každá z nás bude mít jasné kompetence. Pomáhá nám to pak lépe zvládat stresové situace, které i při sebelepší organizaci na svatbě vznikají. Je to proto, že na svatbě spolupracuje spoustu lidí, a i když jsme sehraný tým, tak zde přeci jen hraje velkou roli lidský faktor a mohou vzniknout problémy, které úplně nelze dopředu předvídat. Ovšem my vše vyřešíme tak, aniž by si toho někdo všimnul.
Na svatbě obvykle trávíme kolem 12 hodin, ale někdy u přespolních svateb mnohem více a děláme souběžně několik hlavních činností. Koordinujeme dodavatele, což znamená, že dohlížíme nad jejich prací, přebíráme jim a následně jim platíme.
Dále svatbu moderujeme, což nebývá úplně běžné, protože většina svatebních koordinátorů se toho bojí. Nicméně já to považuji za naprosto zásadní, neboť hosty přivítáme, a vysvětlíme, jak bude probíhat obřad a následně je informujeme o dalších aktivitách na svatbě. Moderování je dobré ze dvou důvodů. Všichni vědí, co se bude dít a nemůže se stát, že půlka hostů bude u nějaké důležité aktivity chybět a zároveň to dodá svatbě noblesu a šmrnc. Samozřejmě jsme také k dispozici nevěstě a ženichovi, které uklidňujeme, obskakujeme a kontrolujeme, zda mají vše, co potřebují, a hlavně jestli jsou v pohodě.
